MINUTES from Tuesday, January 26, 2010 Conference Call

Meeting participants: Lisa Laboda(Vector); Joe Miskulin (State Farm); and Celia Besore (CSAA).

Reviewed the status of the last conference call’s assigned work.

  • Ostrowski added extensive content to the Shelter-in-place, Personnel loss and the Preventive Steps sections.
  • Gelvin added a link to the CDC in the Information Sources section.
  • Besore updated the minutes and added short vignettes in the “Success Stories” section.

Discussion:

1. The wiki Group is changing the way it’ll collaborate. Most of the wiki content is complete and changes between conference calls are minimum.

The new procedure will be:

Besore will send the group an e-mail every 4 months identifying the changes made to the wiki.
Group will then decide if there is a need to meet by conference call.
2. The Wiki has a sponsor: Dice Corporation. Besore asked group to provide feedback on the ad information.

Next report will take place on the week of May 24, 2010.


MINUTES from Tuesday, September 2, 2009 Conference Call

Meeting participants: Larry Beierle (Vallance); Carolyn Escamilla (United Central Control-UCC); Michael Gelvin (UCC); David Mann (Certified Systems); Joe Miskulin (State Farm); Anita Ostrowski (Vector); Dory Retherford (Per Mar); and Celia Besore (CSAA).

Group reviewed the suggestions from the 2009 Fall Operations Management seminar and discussed some of the topics.

Some of the discussion included:

1. Need to have an offsite facility identified (either a nearby hotel, another company site, a nearby house.) The group discussed how to get to the secondary site (boss SUV).
2. If sheltered in place, group discussed some of the items that must be available including hygene products, water (which has a shelf life), etc.
3. All agreed on the importance on setting the expectations with the employees early as part of the disaster planning and reinforcing them often; the importance of cross-training.
4. Some companies offer CPR/AED and First Aid training to their employees. Some also have hosted flu vaccination days for their employees and their families (on a voluntary basis).

    • Worked on “Evacuation Procedures”
    • Worked on the “Test and Maintain” Section.
  • Miskulin:
    • Worked on the “Vulnerability Assessment” section.
    • Worked on the “Tactical Team” section.

  • Kinney:
    • Will work on Chapter IV-Requirements.

    • Will contact Miskulin to ask him to assist on the Table of Contents for the “Develop & Write Plan” section.
  • Besore:
    • Will send a CSAA Signals inviting contributions to the two new sections.
  • Miskulin:
    • Will work on the “Test/Maintain” section.

Mann suggested meeting after the 2009 Fall Ops seminar to include new workgroup participants.


MINUTES from Tuesday, May 12, 2009 Conference Call

Meeting participants: Greg Hurst (Certified Security); Diana Kinney (Diebold); Dave Mann (Certified Systems Design); Anita Ostrowki (Vector); and Celia Besore (CSAA).

Reviewed the status of the last conference call’s assigned work.

Ostrowski and Besore decided that Vector’s Table of Content could not be incorporated in the current structure. Vector’s plan is more dynamic.
Mann added content to the “Vulnerability Assessment” section.

The group will work on the following by the next meeting:

Ostrowski:
Will work on Chapter IV-Requirements.
Will add content to the “Ongoing Maintenance and Review” section.
Kinney:
Will work on Chapter IV-Requirements.
Will work on the Table of Contents for the “Develop & Write Plan” section.
Hurst:
Will add content to the “Introduction” section.
Will work on the “Emergency Management Process”
Will work on “Response Procedures”
Will work on the “Test and Maintain” Section.
Will contact Miskulin to ask him to assist on the Table of Contents for the “Develop & Write Plan” section.
Besore:
Will create several new sections: “Disaster Recovery Success Stories” and “Best Practices.” The second will be a “catch-all” section where people can post their recommendations.
Will send a CSAA Signals inviting contributions to the two new sections.

Pending

Miskulin:
Will work on the “Test/Maintain” section.
Will continue to work on the section on the strategic team indicating why are they important.
He will continue to work on the “Tactical Team” section.

Other

Mann suggested the addition of a new section called “Disaster Recovery Success Stories,” where CSAA members will be able to share situations where they successful handled a disaster.
Group will scale back conference calls to every few months after the June 2nd meeting.

MINUTES from Wednesday, April 14, 2009 Conference Call

Meeting participants: Greg Hurst (Certified Security); Joe Miskulin (State Farm); Anita Ostrowki (Vector); and Celia Besore (CSAA).

Reviewed the status of the last conference call’s assigned work.

Hurst added content to the “Develop & Write Plan” section. Included disasters to consider.
Ostrowski added content to the types of site section (“Cold”, “Warm”, “Hot”), as well as “emergency call list.”
Besore added more content to the section where other types of disasters are listed.
She also added the minutes to the wiki.

The group will work on the following by the next meeting:

Ostrowski:

Will add the list of chapters/parts to the section on “Develop/Write a Disaster Preparedness Plan” that is on the Table of Contents based on the Vector Security Plan.
Hurst:

Will add content to the “Introduction” section.

Reviewed the status of the last conference call’s assigned work.

Miskulin added information to the “Strategic & Tactical Teams” section.
Mudrak reviewed Ostrowski’s content on the personnel loss and adapt it to the “E. Identify Necessary Actions & Resources” section under “I. Disaster Preparedness Plan Development Process.”
Mann generated content for Vulnerability Assessment section.
Hurst developed a lot of content for the “Introduction” but had formatting questions.
Besore added more content to the section where other types of disasters are listed.

The group will work on the following by the next meeting:

The group reviewed the current structure of the wiki and assessed which sections apply to “Physical Loss” vs. “Personnel Loss” or to both.

Will work on the “Introduction” section.
Besore:

MINUTES from Tuesday, February 9, 2009 Conference Call

Meeting participants: Greg Hurst (Monitronics); Joe Miskulin (State Farm); Christine Mudrak (ADS Security); Anita Ostrowki (Vector); and Celia Besore (CSAA).

Reviewed the status of the last conference call’s assigned work.

Besore created a new main page with links to two new sections—one for when the facility is lost, but the employees are available – physical loss; and one for when the employees are unavailable, but the facility is OK – personnel loss. The split was done late so other workgroup members were not able to work on their tasks.
The “How much risk is the company willing to take?” question was added to the wiki.
Miskulin has started to work on the “strategic team” section. He will post the information to the wiki soon.

The group will work on the following by the next meeting:

Joe:

Will start fill-in the section on the strategic team indicating who are they, what are their roles, and why are they important.
He will also work on the “Tactical Team” section.
The whole group:

Will look at the current content listed under the “Physical Loss” section and will annotate in a piece of paper what areas are common to both types of losses and what sections are common to one or the other. We will discuss the group’s choices and come to a consensus during the next conference call.

MINUTES from Tuesday, January 20, 2009 Conference Call

Meeting participants: Greg Hurst (Monitronics); Joe Miskulin (State Farm); Christine Mudrak (ADS Security); Anita Ostrowki (Vector); and Celia Besore (CSAA).

Review the status of the last conference call’s assigned work

Greg looked at the material and pointed out the difficulty in indicating the areas impacted by a specific disaster since most areas in a central station are affected regardless of the disaster.
Based on his conversations with disaster preparedness staff at State farm, Joe suggested dividing the discussion/wiki into two paths/situations:

When the facility is lost, but the employees are available – physical loss
When the employees are unavailable, but the facility is OK – personnel loss
Celia added links to information for the different types of disasters, as well as added others that were not previously included.
Greg also presented the importance of asking: “How much risk is the company willing to take?” The answer to that question will determine the type of plans developed and the resources employed.

The group will work on the following by the next meeting:

Greg:

Will start listing the areas that are impacted under the two new paths after Celia creates the structure.
Joe:

Will start fill-in the section on the strategic team indicating who are they, what are their roles, and why are they important.
Anita:

Will work with Greg on listing the areas that are impacted (see above).
Christine:

Will work with both Greg and Joe.
Celia:

Will create a main page/separate section that will separate the wiki into the two paths.
Will add the “risk” question (above) to the top section of the wiki.

MINUTES from Tuesday, December 9, 2008 Conference Call

Meeting participants: Greg Hurst (Monitronics); Joe Miskulin (State Farm); Pam Petrow (Vector); and Celia Besore (CSAA).

Group reviewed posted information.

Some suggestions were to differentiate between a Strategic (or Planning) team and a Tactical (or Executing) team.

Group divided new sections to work on as follows:

Greg:

Will explore the impact of each type of disaster on an alarm company (what areas could be impacted, etc.).
Joe:

Will liaison with the Disaster Preparedness team in State Farm to ask for their assistance with content and for their review of the materials posted on the wiki.
Pam:

Indicated that both UL 1981 and UL 827 are undergoing revisions that will include the requirement of a Disaster Preparedness Plan.
She will inform the CSAA members working in the UL groups about the CSAA wiki and invite them to collaborate. She will also let the group know when the changes are made.
Celia:

Will add pertinent site links to the list of disasters.
